Standard Operating Procedures


A. Procedures for Accepting Foreign Students, LOA, and Study Permit:

  • Documents for prospective foreign students are brought or sent to the International Affairs Office (KUI) which include: copy/scan of passport, statement of compliance with regulations, letter of guarantee for financing, cover letter from the university of origin abroad, certificate of health examination results, passport size color photograph, diploma and transcript of previous education (legalized in Indonesian or English), curriculum vitae or family card.
  • KUI staff register prospective foreign students at the new student admissions section.
  • The new student admissions department together with KUI carries out the selection process.
  • If prospective foreign students meet the requirements and are accepted, KUI applies to STMIK IKMI Cirebon to issue a Letter of Acceptance (LOA).
  • The Academic Administration Bureau issues a statement containing an announcement that foreign students are accepted/not accepted, which is addressed to the KUI section.
  • Letter of Acceptance (LOA) is sent by STMIK IKMI Cirebon to prospective new foreign students to their home universities abroad.
  • KUI STMIK IKMI Cirebon completes the required documents and submits a study permit application to the Institutional Director via the Foreign Student Study Permit online application system.
  • The Study Permit Service Manager at the Institutional Directorate receives, verifies and validates study permit applications from universities.
  • The Institutional Director approves the study permit using a Digital Signature that has been certified by BSrE.
  • The university receives approval for the study permit and sends the study permit letter to the student.
  • Approval of study permits received by universities is the basis for processing other licensing documents such as ITAS, Domicile Certificate, SKTT, and Reporting Certificate.
  • The Study Permit (IB) Service Manager at the Institutional Directorate facilitates the implementation of supervision, evaluation and guidance of foreign students through the Clearing House forum.
  • Foreign students are accepted as new students at universities.

B. Procedure for processing a Domicile Certificate:

  • The KUI STMIK IKMI Cirebon section reports to the local RT and RW to arrange foreign student domicile certificates by bringing the necessary documents.
  • RT and RW issue a cover letter for making a domicile certificate for foreign students.
  • The KUI STMIK IKMI Cirebon section went to the sub-district office with the requirements to process foreign student domicile certificates.
  • The local subdistrict office processes applications and issues domicile certificates for foreign students.
  • The KUI STMIK IKMI Cirebon section receives a domicile certificate from the sub-district and archives it.

C. Procedures for processing foreign students' ITAS at the Immigration Office:

  • KUI STMIK IKMI Cirebon completes foreign students' Telex Visa applications online.
  • The foreign student's ITAS application letter and its requirements are completed by STMIK IKMI Cirebon and submitted to the Cirebon Immigration Office.
  • The Cirebon Immigration Office receives files and processes foreign students' ITAS.
  • KUI STMIK IKMI Cirebon guides foreign students in filling out immigration forms regarding changes in status.
  • Payment of foreign student visa fees for a period of 2 years.
  • The process of checking ITAS application files by immigration officers.
  • Notification from the Immigration Office to STMIK IKMI Cirebon when the ITAS process has been completed.

D. Procedure for Making a Residence Certificate (SKTT) at the Disdukcapil Office:

  • STMIK IKMI Cirebon wrote an SKTT application letter for foreign students.
  • The complete SKTT application letter and its requirements are submitted to the Cirebon Dukcapil Office.
  • The Dukcapil Office received the application letter from STMIK IKMI Cirebon, checked the files, and processed them.
  • The Dukcapil Office issues Residence Certificates (SKTT) for foreign students who will study at STMIK IKMI Cirebon.
  • STMIK IKMI Cirebon, through the KUI section, receives the SKTT and scans the documents.
  • STMIK IKMI Cirebon handed over SKTT to foreign students.
  • Foreign students receive SKTT documents from KUI STMIK IKMI by signing proof of acceptance.

E. Procedure for Making a Reporting Certificate (STM) for Foreign Students at POLRESTA Cirebon:

  • STMIK IKMI Cirebon submitted an application letter to the Cirebon POLRESTA to issue a Reporting Certificate (STM) for foreign students.
  • The application letter was received by the Cirebon POLRESTA and the files were checked and the STM issuance process was carried out for foreign students who will study at STMIK IKMI Cirebon.
  • Cirebon POLRESTA issues a Reporting Certificate (STM) for foreign students.
  • STMIK IKMI Cirebon, through the KUI section, receives STM documents, then carries out the scanning and archiving process.
  • STMIK IKMI Cirebon, through the KUI section, submits STM documents to foreign students.
  • Foreign students receive STM documents from STMIK IKMI Cirebon through the KUI section by signing proof of acceptance.
